Enterprise Edition for GroupWise 3.0
SilverDane® Archive™ provides organizations with a secure and efficient means of storing and locating email data, enterprise wide.
Email is the letterhead of the 21st century. As more people are able to send both corporate and personal communications quicker and easier than ever before, not only are email stores growing larger and getting out of control, but managing the content and ensuring confidentiality, compliance and best practise records management is becoming increasingly complicated for organisations.
Whether you are looking to efficiently manage your complex compliance obligations or simply the size of your GroupWise email store, SilverDane Archive offers a powerful way of unlocking corporate knowledge.
Designed from the ground up with scalability, compliance and archiving for large GroupWise systems as the objective, SilverDane Archive is the only email archiving solution for GroupWise that meets all of your organisation’s requirements.
Welcome Stubbing!
Wouldn’t it be great if you could get all of the benefits of a true single instance and legislatively compliant archive without ever having to leave your GroupWise client? Now you can!
The full functionality of SilverDane Archive is now available inside of the GroupWise client.
All GroupWise items are captured by our SilverDane Archive Service as they are created in the post office, are single instanced, encrypted, indexed for full searching capability and secured away from people who shouldn’t have access to them.
Policies can be created with the SilverDane Stubbing service to remove items from GroupWise based on item age, size or group, leaving a SilverDane Stub of that message in the GroupWise client.
So what is stubbing?
A GroupWise item, such as an email or an appointment is composed from three different sources of information. The user database stores the message header information. The message database provides messages and attachments (up to 2kb in size). Attachments larger than 2kb are stored in the OFFILES Directory as BLOBs.
Stubbing is where the attachments and the message body of the item are stripped from the message, and only the header remains in the email application. In place of the message body and the attachments is the content of the message pulled directly from the archive.
The result of stubbing is a much smaller message store allowing the messaging administrator to efficiently back up, restore and run scheduled maintenance on the post office data, while still maintaining the ability to keep all messaging data available to the end user. The smaller message store means that organisations no longer need to invest as much into storage and capacity planning for the messaging system as they have in the past.
- SilverDane Archive has an “Expire and Reduce Messages" utility, similar to the GroupWise scheduled event, that can be scheduled to run at predetermined intervals. Messages that are removed from the GroupWise client using this action are replaced with a "stubbed" message that links to the Archive database.
- The stub is created by a scheduled service that runs against the POA.
- The stubbed item is a different message sub type that users are able to search on. For example, a user will be able to perform an advanced find or filter on the item type Archive Mail.

- The stub is easily identifiable with a unique icon indicating its archived status.

- All GroupWise properties and personalisation is maintained.
- Item types of Mail, phone messages will be stubbed.
- Item types of Appointments that have a start date and duration that completed prior to the time that the stubbing service is run will be stubbed.
- All other item types will not be stubbed in this release. This feature is scheduled for release in our Bonsai supported version.
- Stubbed emails will only be available in their entirety to the end user providing the end user has a connection to the archive database. If the user is running caching mode, and has access to the Archive
database then they will be able to completely access archived messages. If they are running caching mode but are disconnected, for example, working on a plane, they will be able to see the message and the header, but will receive an informational message stating that the message is unavailable until they connect to the network. Users who view the message rather than open the message will receive the same response. Stubbed messages that are synchronised to a remote device such as a Blackberry or GroupWise Mobile Server will only contain the message header
- Stubbing requires a client C3PO installation on each machine.
Once installed, all users that log onto the machine will be able to view the stubbed messages. Users are able to utilise the native GroupWise find tool to search their mailbox- and certain properties of items that have been stubbed- for example all information that is contained in the header (ie no text) will be returned. A full text search is also available as a part of the C3PO installation. This provides the end user with the complete search functionality of the Archive Web Interface.
- Users have the ability to work with the stubbed message. The “Reply”, “Forward”, “Delete”, “Save” and “Print” buttons will work. The user is already able to send the item back to their mailbox to work with as a normal GroupWise item.
- Users are able to move the stubbed message between folders, send the stubbed message to their trash and restore from the trash as they could with a normal mail message. These folder changes are reflected in the Archive database.
- Users do not have to authenticate separately against the Archive Database once they are logged into GroupWise.
Stubbing: The message header of the stubbed message will be stored in the USERXX.DB. As a result the user databases will not decrease in size. However as the attachments and message are stripped from the message, the MSGXX.DB for the user will be smaller and the attachment will no longer exist as a BLOB in the filestore. This significantly reduces the active GroupWise mail store, providing for faster backup times and much more efficient operation of the clients and post office servers. Quickfinder Indexing and GW Checks now operate very quickly, ensuring database consistency.
